1. Scope & applicability

This Privacy Policy explains how Tejomarg Foundation (referred to as "the Foundation," "we," "us," or "our") collects, uses, stores, and protects personal data submitted through this website (tejomarg.org) and any sub-domains, forms, or communication channels that link back to it.

This policy is issued in accordance with the Digital Personal Data Protection Act, 2023 ("DPDP Act") and the Information Technology Act, 2000, and is intended to be read together with our Terms of Use and Cookies Policy.

2. What personal data we collect

We collect only the personal data you voluntarily provide to us. Specifically:

2.1 Enquiry form submissions

When you submit the contact form on this website, we collect:

  • Your name
  • Your organisation
  • Your email address
  • The enquiry type you selected
  • The message you wrote

2.2 Email correspondence

If you write to us directly at contact@tejomarg.org, we receive your email address, any name you sign with, and the content of your message.

2.3 Technical / browser data

Our hosting provider may automatically log basic technical data such as your IP address, browser type, device type, referring URL, and access timestamps. This is standard server log behaviour. We do not currently use third-party analytics, advertising trackers, or behavioural profiling.

What we don't collect: We do not collect financial information, government identifiers (Aadhaar, PAN), biometric data, or sensitive personal information (caste, religion, health) through this website.

3. How we use your data

We use the personal data you provide only to:

  • Respond to your enquiry, proposal, or partnership request
  • Schedule and conduct subsequent communication (calls, meetings, emails)
  • Maintain a record of partnership engagements for governance and audit purposes
  • Send you programme-related updates if you have an active engagement with us
  • Comply with applicable Indian laws and respond to lawful requests from authorities

We do not use your data for marketing, advertising, profile-building, or onward sale.

4. Sharing & disclosure

We share your personal data only in the following limited circumstances:

  • Partner institutions, only with your consent: If your enquiry requires coordination with a specific partner (for example, a college you nominate), we may share relevant context with them after confirming with you.
  • Service providers: Form-submission and email-delivery services we use (currently Formspree) process your form data on our behalf to deliver it to us. They are bound by their own privacy obligations.
  • Legal requirement: If required to disclose under applicable law, court order, or lawful government request.

We do not sell, rent, or trade personal data under any circumstances.

5. Retention

We retain enquiry data for the duration of the relationship plus the period required for record-keeping under Indian law (typically eight years for organisational records). If your enquiry does not lead to an engagement, we will delete or anonymise your data within 24 months of last contact, unless you have asked us to retain it for future reference.

6. Your rights under the DPDP Act

As a Data Principal, you have the following rights with respect to your personal data:

  • Right to access — confirmation of whether we hold your data and a summary of what we hold.
  • Right to correction — to correct inaccurate or incomplete data.
  • Right to erasure — to request deletion when the data is no longer needed for the purpose collected, subject to legal retention requirements.
  • Right to grievance redressal — to raise a complaint with our Grievance Officer (named in section 10).
  • Right to nominate — to nominate a person who can exercise these rights on your behalf in the event of death or incapacity.

To exercise any of these rights, please write to us at contact@tejomarg.org with the subject line "Data Request".

7. Children & minors

This website is not directed at children under 18. We do not knowingly collect personal data from minors through this site. Where our programmes (such as the AI Hackathon for Government Schools) involve minor beneficiaries, their data is collected separately, with verifiable parental consent obtained in-person through the school, and is not stored on this website.

8. Security

We apply reasonable and proportionate security measures to protect personal data:

  • Encrypted transmission over HTTPS
  • Restricted access to enquiry data on a need-to-know basis
  • Vendor selection based on documented data-protection practices

No system can guarantee absolute security. If we become aware of a data breach affecting your personal data, we will notify you and the Data Protection Board of India in accordance with the DPDP Act.

9. Updates to this policy

We may update this policy from time to time to reflect changes in law, technology, or our practices. The "Last updated" date at the top will reflect the most recent revision. Material changes will be highlighted on the homepage for at least 30 days.
